Managing Duplicate Students

Salesforce makes it easy to merge duplicate student contact records!

1.Check if the duplicates are under the same account

Duplicates need to be merged from a single account. So if they belong to different accounts, move them to the account you want the merged contact to belong to.

2.Switch to Classic view

In order to merge contact records in Salesforce, you must be in 'Salesforce Classic' view.

Click on your 'Profile' picture button and select 'Switch to Salesforce Classic'.

3.Search and select Student

Search for the first student name or ID number that you wish to merge. Then click the student name from the list of returned records.

Click the 'Details' tab.

Scroll to the 'Account Name' and click on the hyperlinked name.

You can only merge contacts that share the same parent account. For example, both these contacts live in the 'Student Bucket Account - QLD' account.

Scroll to the 'Contacts' section of the Account and click the 'Merge Contacts' button.

NOTE - Only Salesforce users with 'Merge Contact' permissions can perform a contact merge.

Enter the name of the student you wish to merge and click 'Find Contacts'. Use the check boxes to select to two records you wish to merge.

In this example you can easily identify the duplicate records from the email address.

Use the radio buttons to select the information from each record that you wish to retain.

4.Switch to Lightning view

Return to the Salesforce Lightning Experience by clicking your profile name then 'Switch to Lightning Experience'.
