Changing a Course Venue
Sometimes you may need to change the location at which a Course is taking place. Salesforce has a handy feature to make this process nice and easy.
1. Find the Course
The first step is to track down the course you would like to change the location on. There are a number of ways to do this. A great way is to use the 'Calendar' tab in the Salesforce navigation bar. This shows a full and interactive training calendar to help you find your Course.
If you click the 'Gantt' view on the Calendar, this will show all the Courses filtered by Region. You can even change how you would like to filter you Gantt chart using the selection box - by location, trainer or anything you would like!
Once you have found the Course you are looking for, double click on its calendar entry to open it up in a new tab.
Another great way to find a Course, is to search for it using its unique course identifier using the Salesforce global search bar.
Salesforce will show you a list of matching Courses. Click on the right one to open it up.
2. Change the Course Location
Next, update the Course 'Location' to the new value -
- Make sure you are on the Course 'Details' tab
- Scroll down to the 'Location Details' section
- Hover over the 'Location' field and select the little pencil symbol
- Search for your new Course Location
- Choose the new Location
- Select 'Notify Attendees of Venue Change'
- Select 'Save'
3. Customer Notifications
When you select 'Notify Attendees of Venue Change' Salesforce will automatically notify any attendees of the change. The following will happen -
1. Course Activity
An activity will be logged against the Course showing that the venue has been changed and that Attendees have been notified. You can see this in the 'Activity' section on the right hand side of the Course page.
2. Attendees
All attendees will be sent an email detailing the change of venue. You will be able to see if the email has been sent by looking at each Attendee record. As with the Course, if you check the 'Activity' section you will see an Activity confirming the Attendee has been notified.
You can see a full list of Attendees by choosing the 'Related' tab against the Course record.
3. Bookings
If the Course has any Bookings assigned, Salesforce will take one additional step - a notification will be sent to the 'Booking Contact' defined on the Booking record. This ensures everyone is kept in the loop.
As with Attendee records, an activity will automatically be logged against the Booking record to confirm that a notification has been sent.
