Closing a Training Course

Once a training Course has completed it is important to close the course off. This helps track the administration of Courses and is also an important step in ensuring that any Corporate Bookings assigned against the Course are promptly invoiced. 

1. Find the Course('s)

A great way to keep track of a list of training Courses that need to be closed is to use a list view. There is a predefined list view in Salesforce called 'Courses Ready to be Closed'. This will show you a list of courses that took place in the past and are yet to be defined as 'Closed'. 

To access this list first choose 'Courses' from the Salesforce navigation bar at the top of the screen and then select 'Courses Ready to be Closed' from the list selection box.

You can sort your list by whichever column you like! Just click on it. For example, you can easily sort your list by the Course Start Date.

There are a host of other ways to search for and find Courses to close but using a list is a great way to manage it.

2. Close the Course

  1. From the list, select the Course that you would like to close
  2. Make sure you are on the 'Details' tab
  3. Hover over the Course 'Status' field
  4. Select the little edit pencil
  5. Change the status to 'Closed'
  6. Save!

3. Bookings and Invoicing

Closing a Course will automatically update any Attendees and/or Bookings linked to the Training Course - 

Bookings

Bookings will be updated to a status of 'Fulfilled'. In turn, if the booking was made on-account, the order associated with the Booking will be triggered for invoicing by the finance team. This ensures that customers are invoiced once their training is complete, regardless of when the booking was made. 

You can view all the Bookings linked to a Course by navigating to the 'Related' tab and checking the 'Bookings' list.
