Electronic Student Enrolment Process

The following guide shows how students can complete their enrolment form (AVETMISS V2.10) in an electronic format, which synchronises with the SJAA Salesforce Instance.  

1. How does a student receive the electronic enrolment form?

Each student enrolled in a course currently receives an email notification advising they've successfully enrolled. This email notification has been enhanced to include a new paragraph requesting that they provide us with their details (in line with the new AVETMISS form), prior to attending the course. This paragraph contains a link to an electronic registration form.  

Important Info: 

  1. Only students attending an accredited course will be asked to complete the electronic form. 
  2. The registration email will be sent to all students, irrespective of which way method they book on to a course:- via the State-based website, Community Portal (currently only being used by SJAA QLD), via phone or email request.

What does the new paragraph look like in the registration email? - It will appear in both the email message as well as the attached registration document:-

When the student clicks on the link, they'll see an electronic form which is identical to the AVETMISS V2.10 enrolment form. 

The student needs to complete the following fields as a minimum, in order to submit the form successfully:

- Family & Given Names

- Date of Birth

- Email Address

- Mobile Number

- Suburb

- Postal Code

- Emergency Contact Name and Number

- All of the Declaration checkboxes

When the student completes the form and clicks on Submit, it will update all of the same fields on their Contact (student) record in Salesforce

Please note: When the student completes the declaration fields, it'll update the same checkboxes on their attendee record 

All fields on the AVETMISS V2.10 form are incorporated within the above electronic form.

Note: When the student completes the fields highlighted in the red box below, it will now update the ATTENDEE record as opposed to the student record

The new AVETMISS form includes a declaration and signature section as below. The electronic enrolment form contains only the checkboxes, which substitute an electronic signature

3. Additional Information & Follow-Up Reminder Emails

  1. The student will not be prompted to provide their USI, if it's already been verified at the time they receive the registration form
  2. If the student has not submitted the enrolment form in the first instance, they'll automatically receive a reminder email 2 days prior to the course start date, asking them to complete the form

*(Students attending a course in NT will receive the reminder email irrespective of whether they've already submitted the form)

4. Important SF Enhancements - 16/04/18

Effective from 16/04/18, several features have been deployed in our SF Instance, which will allow our trainers to see if a student has completed their enrolment form whilst marking their course attendance, thus allowing the trainer to encourage the student to complete the form during the course. 

Additionally, the wording within the course registration letter, accompanying email and the enrolment form reminder email has been updated, as an incentive to increase the number of students completing the form prior to attending their course.   

4.1   The "Manage Attendees" page has been updated; it now shows the trainer if the student submitted the electronic enrolment form as they're marking them at the course: 

4.2  The trainer's home page has been updated, so that they can see the number of students which haven't completed the enrolment form for courses which start in the next 3 days:

4.3   The wording within the course registration email and enrolment reminder email has been updated, in an attempt to increase the number of students completing the form prior to attending the course.
