How to Create Special Pricing

Special Pricing allows you to apply contractually agreed pricing variances on a customer by customer basis. When a booking is made against a customer with Special Pricing the resulting order will use the special pricing amount as opposed to retail rates. 

The following explains how to set up special pricing for a customer. 

At this time Special Pricing is limited to Training. 

1. Find the Customer

The first step is the find the Customer to whom you would like to apply special pricing. You can easily do this by searching for their name in the Salesforce global search bar at the top of your screen. 

Results will begin to appear as you type the name. If you do not immediately see the customer you are looking for you can press on the magnifying glass icon to open out full list of search results. 

You can search by more than the customer name. If you have an email address, phone number or even the name of a person that works for the Customer you can search using that and still easily find the Salesforce Account you are looking for.

2. Add a Special Pricing Header

Once you have found your Account in Salesforce, open it up and make sure you are on the 'Related' tab. Navigate down the page and you will find a 'Special Pricing' list. 

Select 'New' from the list to create some Special Pricing. You need to provide the following details - 

  1. Special Pricing Name - this can be anything you like but try to be as consistent as possible with the naming convention
  2. Start Date / End Date - this is important! The special pricing will only take affect between theses dates within Salesforce. In the example below if a Booking were to be added on 20/01/2018, the Special Pricing would be considered expired and the Booking would be created for list price
  3. Active - Again, this is important. Special Pricing will only take affect for bookings make against the client if it has been defined as active

Once you have filled out the required details, select 'Save'.

3. Add Special Pricing Line Items

Once you have created your header you need to create some Special Pricing lines. These specify the pricing that should be applied to the Customer when they make a booking for specific training courses.

Upon saving your Special Pricing header, a record will appear in the 'Special Pricing' list against the Account. Click on the Special Pricing name to open it up. From here, make sure you are on the 'Related' tab.

You will see a list entitled 'Special Pricing Item'. Select 'New' to start defining some pricing for the Customer -

  1. Product Name - this is a quick reference to the product for which you are applying special pricing
  2. Product - this is a lookup to the products stored within Salesforce. Simply start typing to search for a training product. If you can't find the product easily, select the magnifying glass icon to open out a more expansive lookup interface to help you find what you are looking for
  3. Price Ex GST / GST - this defines the pricing the customer will receive when they book a training course of the type defined in point 2 of this list

Once you are done, select 'Save' to finish creating your Special Pricing Item.

Remember, when selecting the product there are three types for each. For example - 

  • CPR - this is the public facing version of the product with a price per student
  • IND-CPR - this product is for quoting Industry Courses and is priced per Course (21 students * the standard price)
  • RPL-CPR - this product is for administering challenge tests for students wishing to transfer a competency achieved under a different RTO (priced accordingly)

You may want to add a number of Special Pricing Items in quick succession. If this is the case, use the 'Save & New' button to speed up the process.

4. The Account Hierarchy

It is a common occurrence that a particular customer may have a number of child Accounts. For example Woolworths will have various stores and brands sitting underneath it. Salesforce is designed to ensure that any special pricing agreed with Woolworths should also take effect for any bookings made for any of its many child accounts. 

In as much, you only need to define Special Pricing at a Parent Account level. Any child Accounts, will automatically receive the same pricing should a booking be made against them. 

To define the Account Hierarchy, you use the 'Parent Account' field which can be found under the 'Detail' tab on any Account record. 

You can review any Account's hierarchy whenever you like. Select the little arrow to the right of the actions buttons in the top right hand corner and then select the 'View Account Hierarchy' options. This will display a view of where your Account sits in the hierarchy.

5. An Example Booking

During this guide we have created some Special Pricing for Woolworths Ltd, expiring in January 2018. Woolworths have been granted a price of $34.99 for Provide Cardiopulmonary Resuscitation and the pricing has been defined as active.

If we check the Order that was automatically created at the time of the Booking, we can see that the price has been defined at $34.99 per student, times three students to give a total of $104.97.
